Position Summary

The Advising and Outreach Specialist at the School of Professional Studies (SPS) is responsible for participating in the planning and delivery of academic advising, counseling services, and supporting/representing SPS through outreach in the community. Position will work in the Corpus Christi Center with regular travel throughout the Coastal Bend and occasional travel to San Antonio, TX. Position reports to Associate Director of Advising and Tutoring.

This position is considered a “Responsible Employee” under Title IX federal regulations and “Mandatory Reporter” under Texas state law and the UIW Sexual Misconduct Policy. As a Mandatory Reporter, this position requires you, as the employee, to promptly report any incident that you witness or receive information about Title IX violations. These reporting responsibilities are set out in the UIW Sexual Misconduct Policy.

Description of Job Duties

  • Advise students (individually and groups) on schedules, majors, hours, probation, and/ or suspension; present educational options through communications, presentations, and events aimed at promoting and showcasing the program’s features and benefits for prospective military, veteran and civilian students.
  • Assist in disseminating timely information on curriculum requirements, academic policy, and other related issues as they arise, to include development of educational course/degree plan options and resource options.
  • Provide unofficial transcription evaluations, monitor audits for graduating seniors, and submit substitutions for approval.
  • Meet regularly with assigned students to discuss academic and professional goals.
  • Manage various projects assigned by supervisor or designee which include but are not limited to preparing classrooms, equipment, etc. for face to face classes at Corpus Christi center and/or outreach activities.
  • Maintain classrooms/locations, calendar of events, and disseminating information to SPS Advising or Admissions accordingly to plan and prepare logistically, and preparing weekly status reports for supervisor.
  • Ensure thorough understanding and interpretation of requirements and academic options in assigned areas and basic information about other academic areas to advise student.
  • Organize and assist in assigned departmental projects, such as staff retreats, graduations and other outreach events for the Student Services team.
  • Train assigned students or staff involved in academic advising.
  • Represent SPS/UIW at various related internal and external meetings and events and help position SPS and advising as highly respected and proactive, to include communication of the Vision, Mission, policies and procedures and academic goals of the University.

  • Represent UIW and the respective programs to prospective students through one-on-one communications, visits to local businesses, military installations, college fairs, and local community events to promote enrollment options.
  • Assist team and partners to organize events to bring prospective students to the program;
  • Assist with the development and maintenance of marketing materials through market feedback.

  • Experience working with various software applications.
  • Must have strong communication, organization, self-motivated and verbal skills.
  • Excellent interpersonal and presentation skills.
  • Must be multi-tasked and detail oriented.
  • Good customer service and problem-solving skills.
  • Ability to work effectively with individuals from diverse communities and cultures.
  • Employee shall adhere to all applicable rules and regulations of the University, the Conference, and the NCAA.

Required Education

Bachelor’s Degree.

Required Work Experience

  • Two (2) years of academic advising or counseling experience.
  • Six (6) months of experience in professional outreach field, such as sales, marketing or recruiting, communications, or public relations field.

Preferred Qualifications

  • Master’s Degree.
  • Four (4) years of experience as an academic advisor in higher education.
  • One (1) year of outreach and presentation experience
  • Experience working with Banner and CRM applications.

Required Certifications, Licenses or Registrations

Valid Texas Drivers License or ability to obtain one by first day of employment (required for outreach events).

Work Hours

Mon-Fri 8am to 5pm with some evening and weekend work required as needed to meet departmental goals.

Physical Demands

  • Must be able to lift up to 25 lbs of marketing materials.
  • Ability to move about campus and event venues and actively engage during presentations and various outreach events.
