The Assistant Director promotes student and trainee learning and development by providing leadership over the training and admissions division within the Office of Graduate and Postdoctoral Studies (OGPS) at Michigan Medicine. This division includes 6 team members across the various teams – Admissions & Recruitment, PIBS (Program in Biomedical Sciences), and Data & Evaluation. Responsibilities include overseeing the human resources, finances, business operations, strategic planning, and special projects within this division. In addition, the Assistant Director will play an instrumental role in standardizing processes regarding admissions, recruiting, and program evaluation across all academic programs within the medical school. This position is expected to understand the responsibilities and duties of team members without performing them except during times of staff transition. Lastly, this position reports to the Administrative Director.

OGPS provides comprehensive support services to 600+ masters, doctoral, and post-baccalaureate students as well as the 500+ postdoctoral fellows within the medical school. With the growing support and services and the changing landscape of higher education, we are consistently creating new initiatives and programs while reevaluating existing ones. This includes the restructuring of the office to better support the learning and development of our trainees. As a result, this position is one of the new positions created in our restructure to support our efforts. The Assistant Director is critical in supporting the admissions and recruiting, program evaluation, and data analysis and reporting efforts of our office.

This will be a great job if you: 1) have experience managing admissions and recruiting efforts, 2) enjoy creating new processes and procedures, 3) take the initiative to investigate how things operate, 4) can develop solutions to challenges that arise, and 5) are comfortable with numbers, budgets, and spreadsheets.

The minimum salary for this job title is $73,560. However, the expected salary range is $80,000 – $90,000. In addition, a higher salary may be offered based on the qualifications, years of experience, and benchmarking with other employees within Michigan Medicine with the same job title. 60% Administrative and Operational Management

Supervision of 6 team members which includes 3 team leads/supervisors

Responsible for the management of human resources for the division

  • Manage and process staff hires, appointments, and terminations
  • Reclassification and equity reviews analysis/research/recommendations
  • New position descriptions and approvals
  • Onboarding and Offboarding of staff
  • Oversee and approve timekeeping for all staff
  • Work with leadership to assess staffing needs

Responsible for the management of finances for the division

  • Manage and reconcile all accounts, assuring expenses are appropriate to the type of funds and approved budget amounts
  • Provide ad hoc financial accounting as needed
  • Follow up on errors and corrections as needed
  • Approve expense reports that are assigned to this position
  • Oversee all procurement activities ensuring compliance with university business processes and policies
  • Collaborates with Procurement to ensure contract terms, conditions and costs are favorable to U-M

Responsible for the management of operations for the division

  • Manage all policies and procedures including the reviewing, updating, and standardizing of policies and procedures
  • Responsible for completing and writing annual reports
  • Responsible for pulling data for annual reports
  • Ensure compliance with university policies and ethical standards

20% Strategic Planning

  • Identify administrative and operational functions that need improvements within the division
  • Conducts research and data analysis to inform decision making
  • Develops strategic plans based on the office’s goals and objectives
  • Create and present reports regarding strategies for review by senior management.
  • Implement the plans into action

20% Special Projects

  • Responsible for the overall management, performance, and completion of ad hoc special projects related to the work of the division
  • Provide counsel and advice to the Associate Dean and Administrative Director on university initiatives and other university efforts as deemed necessary by the Associate Dean and Administrative Director
  • Draft correspondence on behalf of Associate Dean and Administrative Director
  • Represent the Associate Dean and Administrative Director at meetings
  • Act as the Administrative Director in periods of absence

Required Qualifications*

  • Master’s degree
  • considerable professional experience with reasonable prior management, supervisory or team leader experience
  • 5 years of work experience in higher education
  • 3 years of experience in student and academic affairs, services, administration, or similar functional areas
  • 2 years of experience with managing admissions processes and interview weekends

Desired Qualifications*

  • Intermediate/advance skills with Qualtrics or Excel

Work Schedule

  • This is a full-time position: Monday – Friday, ~9:00 – 5:00 PM
  • This position may work onsite or hybrid.

Background Screening
